The PD4MaTHS Cancellation Policy
& Credit Note System (Nov 2018)
When PD4MaTHS face-to-face workshops are advertised, teachers are able to make a ‘tentative’ enrolment while they gain approval-to-pay from their school.
There are no ‘tentative’ enrolments for online workshops.
A ‘definite’ enrolment for a PD4MaTHS professional development workshop is made by email or using the using the online enrolment form.
Definite enrolments are confirmed by an email with an invoice attached*. Once an invoice has been generated it cannot be cancelled.
*Invoices for DoE schools aligned with the LMBR system are sent direct to EdConnect (not to the school). The school is sent a copy of the details of the invoice.
Once an invoice has been generated and sent from PD4MaTHS to the school the enrolment is considered final.

The Credit Note System
(Dealing with non-attendance and double payment of invoices)
As part of our initiative to streamline and keep workshops costs low, we do not issue refunds. Instead, we issue Credit Notes (see below).
We understand that sometimes teachers are unable to attend f2f workshops due to unforeseen circumstances. In these circumstances, we issue a credit note to the school for each non-attending teacher (see below).
Sometimes schools pay the same invoice twice. Again, in this situation, we issue Credit Note/s to the value of the double-paid invoice.
The Credit Note System
Reasons for the above policy:
Enrolling teachers into workshops takes time. Generating invoices takes time. Reversing invoices takes time. Refunding schools for unattended workshops takes time. When cancellations and/or refunds occur, time is spent at each step of the process. We wish to avoid having to increase our workshop fees to cover these costs. The Credit Note system is fair and efficient.
Conversely, we view the cancellation policies used by most PD suppliers (of the ‘no refunds for cancellations within seven days of the workshop’ type) to be unfair because unforeseen circumstances sometimes arise for participants. Hence we don’t use such a policy.

The Credit Note System
- The Head of Department will receive an email detailing the number of Credit Notes issued to the school.
- Credit Notes are valid indefinitely, for another PD4MaTHS workshop of equivalent cost.
- PD4MaTHS will maintain a log of the Credit Notes. However, it will be the responsibility of the school to redeem their Credit Note via email to PD4MaTHS by requesting another advertised PD4MaTHS workshop.
- A Credit Note can be redeemed at any time another suitable workshop is available and can be used by any teacher from the same school.
- To redeem a Credit Note, the teacher (or another teacher from the same school) simply needs to email pd4maths@gmail.com to request another advertised workshop. Please supply the number of your credit note.
- In exceptional circumstances, we may choose to waive the above policy.
